Grants management
REQUESTS
The Request table stores information associated with a request record for funding by an organization (grant) or by an individual (scholarship).
FUNDING OPPORTUNITIES (AKOYAGO WITH ACCOUNTING)
The Funding Opportunity table tracks the foundation’s proposal to a Fund for support of a Request. After a Request is received, the foundation can share it with fundholders as a Funding Opportunity.
PAYMENTS AND REQUIREMENTS
The Payments and Requirements table has two record types that are linked to Requests. Payment records detail the payment information on the request, including the amount paid, the source of the funds, and the date of payment. Payments are used to create entries in akoyaGO’s integrated accounting platform. Requirement records keep track of any conditions or contingencies related to the Request or specific Payment, e.g., a report, a contract, or a transcript.
SCHOLARSHIPS
The Scholarships table tracks the scholarship programs administered by the foundation. On a Scholarship record, you’ll find conditions, eligibility requirements, and other details.
INTERFUND GRANTS
Interfund records allow you to create Request and Gift records for a transfer of money between funds. When fiscally transferred, a journal entry is created in akoyaGO’s integrated accounting platform.
IMPACT INVESTMENTS
Impact Investments refer to a specialized entity designed to help foundations manage loan-based investments that aim to generate both financial returns and social impact. This is particularly relevant for foundations engaged in program-related investments or mission-driven lending initiatives.
PROGRAM BUDGETS
Program Budgets allow you to set an amount you intend to fund in a specific Program and track how much has been awarded towards each Program through Requests.
OUTCOMES
Measurable results about Requests funded by the foundation.
Letter templates
Letter Templates are preconfigured Word documents that merge CRM data into formatted letters. They are used to generate bulk or individual communications—such as thank you letters, award notifications, or donor acknowledgments directly from CRM records
mailing lists
Mailing Lists are a streamlined tool for foundations to communicate with groups of donors, constituents, and contacts. They are designed to simplify outreach, especially for printed letters and, increasingly, email campaigns

DONORS & PROSPECTS
Donors & Prospects are individuals, households, or organizations who have given or may give to the foundation. Individual or Household donors must be linked to a Contact record, and Organizations must be linked to a Constituent record
DONOR OPPORTUNITIES
Donor Opportunities allows you to track your stewardship of a donor for a specific purpose, such as a gift, starting a fund, volunteering, a bequest, etc.
GIFTS
Gift records track money committed to your foundation by a Donor.
GIFT PAYMENTS
Every Gift record will have at least one related Gift Payment. A Gift Payment is the receipt of funds toward a Donor commitment (Gift). This includes information such as the payment type, the payment date, and to which fund the money was credited. If a single gift is split between funds, it will have multiple related Gift Payments.
Foundation matching gifts
Foundation Matching Gifts is a built-in feature designed to help foundations manage and track matching gift programs.

CAMPAIGNS
A campaign is an initiative made up of one or more Activities – a capital campaign, for example.
EVENTS
Through the Events table, you can create records that track the attendees and planning information for events hosted by your foundation.
PROPOSALS
A Proposal is a request for funding to an outside agency, for example, to receive a grant.
REFERRALS
Referrals are used to soft credit Donors for bringing Gifts to the foundation.
GOdonate Transactions
The GOdonate Transaction Table is a CRM entity that captures each donation attempt or completed donation made through the GOdonate site. It serves as the intermediary record that connects the donor’s online activity to the creation of formal Gift and Gift Payment records in CRM

The Recurring Gifts table is a specialized entity that manages and automates ongoing donor contributions made through the GOdonate platform.

A fund is a pool of money used for a specific purpose. Types of Funds include donor-advised, scholarship, agency endowment, designated, field of interest, etc.
ACCOUNTS
Account records are used to sort, store, and summarize financial transactions, including assets, liabilities, net assets, income, and expenses.

A Scheduled Distribution is a predefined recurring grant made to a specific recipient.

All core records that define and manage grants and scholarships within the GOapply platform.
phases
Phases manage the lifecycle of an application. The phases are stages, such as letter of intent, application, interim report, grant agreement, or final report.
These are components that monitor the progress and lifecycle of applications submitted through GOapply. They serve as the bridge between a submitted application and its associated request, phase, and review process.
Third-party responses are records generated when an applicant requests input from an external party (e.g., a letter of recommendation or reference).
Users refer to individuals who have login access to the CRM system and are assigned specific roles and permissions that determine what they can see and do within the platform.
Allows for the creation and invitation of users, especially reviewers, into the GOapply platform directly from the CRM interface.
Settings old the GOapply URL(s), logo, design, and other key features of GOapply.
reviewers
Individual users who have login access to the CRM system and are assigned the role of Reviewer.
Groups that house Request records and assigned reviewers for the GOapply Review Process.
Tools
Within the Reports table, you’ll find a list of all the supplied or custom reports for your organization and where you can create your own custom reports.
change requests
The Change Requests feature is used to manage and track customization requests, workflow updates, and system modifications submitted by clients or internal users.

donor management
The central configuration hub where the look and function for the public-facing GOdonate site is customized.
FUND FEE FORMULAS
It is a configurable tool used to calculate and allocate fees across funds based on various financial metrics.
SPENDABLE ALLOTMENT
This is where Spendable Allotment formulas are created and stored. Spendable Allotment is the target amount each year that a fund is permitted to spend.

fiscal year
The Fiscal Year table allows administrators to specify the start and end dates of the organization’s fiscal year.
programs
Programs are areas of giving a foundation supports. Programs can be used to categorize Requests.
project areas
Categories to organize grantmaking and strategic focus in areas such as Request records.
Scholarships
This is where Scholarship records are created and stored, i.e., the Johnson Family Scholarship.
service areas
The list of Service Areas can be managed here. A service area can be designated on the Request record
outcome measurers
User-defined units for quantitative and qualitative analysis of Outcomes.
990 regions
This area is used to support IRS Form 990 reporting by mapping geographic regions to corresponding countries.
email templates
All email templates live here, including those for GOapply, GOfund, GOdonate, and GOdonate.
