REQUESTS 

Requests represent any request to the foundation to distribute funding to a Constituent or Contact. akoyaGO standard Request Types include Grant, Scholarship, Interfund (typically for akoyaGO with accounting), or Program Expense. See the Requests KA for more basic information on Requests.

 

FUNDING OPPORTUNITIES (AKOYAGO WITH ACCOUNTING) 

Funding Opportunities can be used to encourage support of a Request or Constituent to fundholders. Funding Opportunities can work with GOfund functionality. See the Funding Opportunities in GOfund KA for more information.

 

PAYMENTS AND REQUIREMENTS 

Payments and Requirements include two record types related to Requests. Payments detail the payment information towards the request, including the amount paid, the source of the funds, and the date of payment. If a single Request will be paid from multiple funds or paid in installments, it will have multiple related Payments. For clients who use akoyaGO with accounting, payments are used to create entries in Business Central. 

Requirement records keep track of any conditions or contingencies related to the Request or specific Payment, e.g., a report, condition, match, etc.

SCHOLARSHIPS (AKOYAGO WITH ACCOUNTING) 

Scholarships track the scholarship programs administered by the foundation. Scholarships track data such as conditions, eligibility requirements, the Total Amount Available, and other details. Scholarship records can work with GOapply auto-match to create Requested Scholarships specific to a Request. For akoyaGO with accounting clients, a Scholarship can be related to a Fund.

 

INTERFUND GRANTS (akoyago with accounting)

Interfunds track transfers of money between two funds. When an Interfund is processed, it will create a related Gift and Gift Payment to the receiving fund, as well as a Request and Request Payment from the granting fund. When fiscally transferred, a journal entry is created in akoyaGO’s integrated accounting platform, Business Central. For more information, reference the Interfund Grant/Gift Processing KA.

 

IMPACT INVESTMENTS

Impact Investments help foundations manage loan-based investments that aim to generate both financial returns and social impact. This is particularly relevant for foundations engaged in program-related investments or mission-driven lending initiatives. See the Impact Investments KA for more information.

Program Budgets allow you to set an amount you intend to fund towards a specific Program, and also track how much has been awarded towards each Program through Requests. See the Creating Fiscal Years and Program Budgets for more information.

DONORS & PROSPECTS 

Donors & Prospects are individuals, households, or organizations who have given or may give to the foundation.  Individual or Household donors must be linked to a Contact record, and Organizations must be linked to a Constituent record. See the Donors & Prospects in akoyaGO KA for more information.

 

DONOR OPPORTUNITIES 

Donor Opportunities allow you to track your stewardship of a donor for a specific purpose, such as a gift, starting a fund, volunteering, a bequest, etc. See the Donor Opportunities KA for more information.

 

GIFTS 

Gift records track the total amount of money committed by a Donor. See the Gift Quick Create KA for more information.

 

GIFT PAYMENTS 

Every Gift record will have at least one related Gift Payment. A Gift Payment is the receipt of funds toward a Gift. A Gift Payment tracks information such as the payment type, the payment date, and to which fund the money was credited. If a single gift is split between funds or is paid in installments, it will have multiple related Gift Payments. For clients who use akoyaGO with accounting, Gift Payments are used to create entries in Business Central. 

 

Foundation matching gifts

Foundation Matching Gifts are gifts that are matched by the foundation, typically because they meet certain criteria set by the foundation. For more information, see the Foundation Matching Gifts KA.

CAMPAIGNS 

Campaigns organize efforts of marketing projects over a period of time. Campaigns can include multiple Campaign Activities. For more information, see the Campaigns and Quick Campaigns KA. 

 

EVENTS 

Events track planning information for events hosted by your foundation. Events can be linked to Event Attendees, Constituents, Campaigns, and Marketing Lists. Events can be used to track data like Invitations Sent, Fee Schedules, and more. Paid events can be linked to Gifts. For more information, see the Events KA.

 

 

EVENT attendees

Event Attendees can be added to an Event to track Contacts who are invited, their RSVP, and more. For more information see the Events KA.

 

PROPOSALS 

A Proposal is a request from the foundation for funding to an outside agency, for example, to receive a grant. Proposals can be linked to Gift records if the foundation is successful in receiving this funding.

 

REFERRALS 

Referrals are used to soft credit Donors for bringing Gifts to the foundation. A referral will be linked to a Donor record.

godonate transactions

GOdonate Transactions capture each donation attempt or completed donation made through GOdonate. It serves as the intermediary record that connects the donor’s online activity to the creation of formal Gift and Gift Payment records in akoyaGO. Recurring Gifts manage and automate ongoing donor contributions made through GOdonate. Recurring Gifts are only created via GOdonate. See the GOdonate Transactions KA for more information.

A Quick Campaign is a single activity distributed to a list of Contacts or Constituents. Quick Campaigns can be created from an Advanced Find or Marketing List. Quick Campaigns are more limited than Campaigns, as they do not offer built-in metrics or the distribution of multiple activities. FUNDS 

Funds are pools of money used for specific purposes. Types of Funds include donor-advised, scholarship, agency endowment, designated, field of interest, etc. See the Adding a New Fund in akoyaGO KA for more information.

 

ACCOUNTS 

Accounts are used to sort, store, and summarize financial transactions, including assets, liabilities, net assets, income, and expenses. For more information, see the G/L Accounts KA.

goapply opportunities 

GOapply Opportunities group together phases for GOapply users to complete in the GOapply UI. Examples of Opportunities include Capital Build Grant, Program Grant, Common Scholarship Application. For more information, see the GOapply Administrator Guide.

 

phases 

Opportunities are composed of Phases. Phases represent different stages for the GOapply User to complete, such as letter of intent, application, interim report, grant agreement, or final report. Every Opportunity will contain at least one Phase; some Opportunities may contain several Phases. For more information, see the GOapply Administrator Guide.

 

status trackings

Status Tracking records monitor the progress of phases by the GOapply User submitted through GOapply. They serve as the bridge between a submitted application and its associated request, phase, and review process. For more information, see the GOapply Administrator Guide.

 

third-party responses

Third-party responses are generated when an GOapply User requests input from an external party (e.g., a letter of recommendation or reference.) Third-party responses are most typically associated with Scholarship applications. For more information, see the GOapply for Third-Party Responses Admin Guide.
 

(goapply) users

GOapply Users are created when a user registers via the GOapply UI, or when an akoyaGO user creates this record on a user's behalf (more information below.) A specific role and permissions are assigned to each GOapply User that determine what they can see and do within GOapply. For more information, see the GOapply Administrator Guide.

 

Add goapply users

Add GOapply Users allows for the creation and invitation of users in the GOapply UI directly from akoyaGO. This is often used for the creation of reviewers. For more information, see the Add GOapply Users KA.

In the GOapply Settings record, you can find information such as the GOapply URL. This is also where you can set items that control how GOapply looks and functions, such as your logo, brand colors, applicant approver method, and more. gofund charts
GOfund Charts are a powerful data visualization feature designed to help fundholders gain insights into fund activity. GOfund charts are managed and created in akoyaGO, and are published to the GOfund UI so external GOfund Users can reference them. For more information, see the GOfund Charts KA.

A DT Account represents an investment pool or asset account where a fund maintains a balance. Every fund must have a DT Account(s) in order to be used in financial transactions. Accounting Settings are organization-level settings used with the integrated accounting platform, Business Central. Settings such as the Notification Recipient, Rebalancing Fund, Gift/Grant Account Defaults and more can be set here. For more information see the Accounting Settings KA.
 
departments
A Department is a group of funds, sometimes for an affiliate organization or a sub-entity. Departments are one of the three standard dimensions used to classify transactions in akoyaGO and Business Central. For more information about departments, see the Dimensions KA.

 

functions
Functions represent a unit within the operations of the foundation such as Fundraising, Program, and Operations and can be used to categorize transactions. For more information about functions, see the Dimensions KA.
 

FUND FEE FORMULAS

A Fund Fee Formula is a configurable tool used to calculate and allocate fees across funds. Fund Fee Formulas are unique to each foundation based on the policy outlined in their fund agreement. Based on those parameters, a Fund Fee Formula is established in your system. Fund Fee Formulas work with the Fund Fees Assessment process in Business Central to calculate and post fees. For more information on Fund Fee Formulas, see the Fund Fees Assessment KA.

 

SPENDABLE ALLOTMENT Formulas

A Spendable Allotment Formula is a configurable tool used to calculate and allocate Spendable Amounts, typically for Endowed Funds. Spendable Formulas are unique to each foundation based on their spending policy. Spendable Allotment formula(s) work with the Spendable Allotment process in Business Central to determine the amount funds impacted by the formula are permitted to spend. For more information on Spendable Allotment Formulas, see the Spendable Allotment KA.

Committee Members manage and track individuals serving on various committees such as boards, grantmaking panels, or advisory groups. Committee Members belong to a related Committee. For more information, see the Committees & Committee Members KA.
 

fiscal years

Fiscal Years specify the start and end dates of the organization’s fiscal year. Fiscal Years work together with Program Budgets. For more information, see the Creating Fiscal Years and Program Budgets KA.

 

programs 

Programs are categories or areas of giving a foundation supports. Programs can be used to categorize Requests and work together with Program Budgets.

 

project areas 

Categories to organize grantmaking and strategic focus in areas such as Request records.

 

Scholarships

Scholarships track the scholarship programs administered by the foundation. On a Scholarship record, you’ll find conditions, eligibility requirements, and other details. Scholarship records work with GOapply auto-match. For akoyaGO with accounting clients, a Scholarship can be related to a Fund.

 

service areas 

A service area can be designated on the Request record and represents the geographic area served by the Request (such as "rural" or "Hennepin County.")

 

990 regions

990 Regions support IRS Form 990 reporting by mapping geographic regions to corresponding countries.

 

outcome measures

User-defined units for quantitative and qualitative analysis of Outcomes. Outcome Measures work together with Outcomes. See the Outcomes KA for more information.

 

email templates

Email Templates can be referenced by workflows to send standard emails. Email Templates dynamically insert data from related records into the email. Custom Email Templates can be created by akoyaGO Admin Users. Standard out of the box Email Templates are available for editing as needed, including those for GOapply, GOfund, and GOdonate.
