Donor Opportunities
This document will walk you through how to create and utilize Donor Opportunities.
Things to Know
Donor Opportunities are used to help track your stewardship with potential donors or track targeted donations for a specific purpose from your existing donors, such as: a gift, starting a fund, volunteering, a bequest, etc.
Donor Opportunities have a one-to-many relationship with Gifts and Funds, meaning, many Gifts and/or Funds can be related to one Donor Opportunity.
Confirm Donors & Prospect Record Exists; Create New Donor if Needed
1. Start with a Dataverse search for the Donor that you are entering a Donor Opportunity for. Confirm if the Donor record exists, or if you will need to enter a new one. Steps on entering a Donor in akoyaGO are found here: Donors & Prospects in akoyaGO.
2. Click on the Donor Opportunities tab. It is beneficial to start from the Donor record, Donor Opportunities tab so you can view any other in progress Donor Opportunities before creating a new one. By starting here, the Donor will also populate on your Donor Opportunity.
3. Click +New Donor Opportunity.
Confirm Donors & Prospect Record Exists; Create New Donor if Needed
Enter Donor Opportunity Details
A blank Donor Opportunity record will open. If you started from the Donor record as instructed above, the Donor/Prospect will default. Fill in all other relevant fields.
Donor/Prospect: Look up the donor or prospect record to which this opportunity applies. This is a required field. The record that you select here will auto populate the Donor/Prospect Information tab. All the fields in that tab are locked and pull directly from the donor record. If a field in the Donor/Prospect Information tab is blank, it is likely also blank in the Donor record.
Once you connect a Donor to a Donor Opportunity, each time the Donor is connected with a gift, a banner will be displayed reminding you of the Donor Opportunity in case the gift is a result of this Opportunity. Click the button to be taken to the Donor Opportunity in a new browser tab.
Opportunity Type: Select from the list of options. This is a required field.
Description: Optional. Add a description for this opportunity.
Stage: Select from the list of options.
Inclination: Select from the list of options.
Inclination Notes: Add notes about the inclination if desired.
Target Close Date: the date by which you hope to close the opportunity. This is not a required field, but it can help you manage your open Donor Opportunities from views.
Actual Close Date: the actual date that the opportunity was closed. You will leave this field blank until the Opportunity is ready to be closed (yields a gift, fund, action, etc or is cancelled).
Estimated Commitment: whole number representing the estimated dollar amount of the value of the gift/donation/bequest, etc. associated with this opportunity.
Actual Commitment: once the opportunity is closed, this is where you can input the dollar amount that was actually committed.
Fund: if a fund is associated with this opportunity, select it from this lookup field. If multiple funds are associated with this opportunity, you can add them in the Funds tab.
Gift: if a gift is associated with this opportunity, select if from this lookup field. If multiple gifts are associated with this opportunity, you can add them in the Gifts tab.
Committee: if a committee is going to review this opportunity, select that committee here.
Event: if this opportunity is associated with an event, select that event here.
Bequests
If your Donor Opportunity is a bequest, you will use the Bequest tab to record that information.
The Bequest tab has two sections – Promise Details and Maturity Details.
Promise Details
This section deals with the value of the bequest on the date is was promised.
Maturity Details
Maturity details have to do with recording the actual value of the bequest when it reaches your foundation.
Add Funds / Gifts
If this Donor Opportunity is associated with multiple Funds and/or Gifts, you can add them in the Funds and Gifts tabs.
Funds
To add funds, click into the Funds tab. You will most likely want to Add Existing Fund. When you do, a lookup will appear on the right side of the screen. This list is multi-select capable, meaning, you can select all the funds you need to from this list.
If this Donor Opportunity resulted in a Donor establishing a NEW Fund, you can choose +New Fund from this tab.
Donor Opportunities in Funds
If you are in a Fund and wondering if it’s attached to any Donor Opportunities, you can click the Related dropdown or the ellipses, then Donor Opportunities to see any that are associated with the fund.
Gifts
Adding gifts to the opportunity follows the same steps as adding a fund. You can add an existing gift or create a new gift.
Alternately, if a Donor Opportunity results in a gift you can use an out of the box akoyaGO workflow to create the gift from the Donor Opportunity. Fill in the Actual Commitment, Actual Close Date, and Fund. Then choose Flow > Create Gift from Donor Opportunity.
This flow will create a gift and gift payment linked to the Donor Opportunity with the details you have entered.
Donor Opportunities in Gifts
You can see the Donor Opportunity Associated View in Gifts just like you can in Funds by clicking Related > Donor Opportunities.
Sometimes, a gift may be entered by staff and they do not realize it is a result of a Donor Opportunity. In this case you can also link a Donor Opportunity to a gift record by searching for the related opportunity.
Deactivating Donor Opportunities
When a Donor Opportunity is complete, you can Deactivate the Donor Opportunity by choosing Deactivate from the top tool bar and indicating a Status Reason.
If the Donor Opportunity yielded the intended gift, action, or fund, you can choose Won. Other options include Lost or Cancelled. Make sure to update this field so you can accurately track outstanding Opportunities you are actively trying to cultivate. You can also deactivate Donor Opportunities in bulk from a view by selecting the Donor Opportunities and clicking Deactivate from the top toolbar.
Please note this will set the Status Reason for all records selected, so make sure you are choosing groups that have the same Status Reason.
