Setup
Before sending a bulk email, ensure:
- An Email Template has been created and includes any dynamic fields you would like inserted into the email.
This Email Template should be User Template Type and should have Organization as the Permission Level:

- You know which field should be used as the recipient (To) address. All emailable lookup fields to the Constituent, Contact, or Donor table will be available as recipient options. The recipient options will be dependent on the table you are running the bulk email from.
- You know which sender (From) address should be used. While you can select any akoyaGO user as the sender, that user must have granted Microsoft permission to send email on their behalf. If this permission has not been granted, the bulk email will fail, and the user who initiated the send will receive a notification. Send Bulk Email
Step 1: Select Records
Navigate to a view for one of the supported tables. Both System Views and Personal Views are supported. For easier validation before sending, consider adding the recipient email address as a column in the view. When sending to Contact records, you may also want to include email preference fields as columns or criteria so you can verify recipients are eligible to receive email communications before initiating the bulk send.
Select the records that should receive the email.
Verify the selected records match your intended audience.
From the action bar, select Send Email.
Select from Subgrid (Mailing List Members and Committee Members)
For most supported tables, bulk emails are sent by selecting records directly from a view. However, when emailing Mailing List Members or Committee Members, begin from the parent Mailing List or Committee record. From there, select the desired records in the related subgrid and click Send Email.
This approach is more efficient for these tables, as Mailing List Members and Committee Members are organized as members of a related group, making it easier to select and communicate with the appropriate audience.
Step 2: Open Bulk Email
After clicking "Send Email," the Bulk Email dialog will open.
Step 3: Select the Recipient Field
In the To field, select the field containing recipient email addresses. This will default to the field most frequently emailed for this table, but you can change as needed.
Step 4: Select the Sender
In the From field, select the sender you would like to use. Begin typing the user's name to search and select them from the list.
The sender lookup is unfiltered and will display any user that matches the search criteria. If the selected user is not authorized to send email, the bulk email will fail when sending is attempted, and the system will display an error message.
Before sending, verify that the selected sender is appropriate for the communication and has granted Microsoft permission to send emails on their behalf. Without this authorization, the bulk email cannot be sent.
Even if you select yourself as the sender, you must grant Microsoft permission to send emails on your behalf. Without this authorization, the bulk email send will fail!
Step 5: Select a Template
Choose the Email Template to use. Noter: All Email Templates will be available for selection, regardless of the table from which the bulk email is being sent. Be sure to select a template that is appropriate for the selected record type.
Step 6: Review and Send
Review the selected To field.
Review the selected From sender.
Confirm the correct Email Template has been selected.
Select Send.
Step 7: Verify Results
After clicking the Send button, a banner will appear at the top of the screen:
When the bulk email is complete, a notification will be received indicating the number of emails sent successfully and any failures
Review any records that failed to send. Correct recipient or template issues and resend as needed.
Emails will appear on the related record's timeline
Troubleshooting
Some Records Did Not Receive an Email
Verify:
- The selected To field contains valid email addresses.
- The correct records were selected.
- If emailing Contact records, the Contact allows Emails and Bulk Emails
Email Content Is Incorrect
Verify:
- The Email Template is intended for the selected record type.
- Dynamic values in the Email Template were formatted correctly. For detailed instructions, please see Formatting Dynamic Values in Email Templates
- The template references the correct fields.
Sender Issues
Verify:
- The correct From sender was selected.
- The sender identity has been properly configured for email sending.
- The sender has allowed Microsoft to send emails on their behalf
Restrictions and Considerations
Supported Tables Only
Bulk Email is only available for the supported tables listed above.
Recipient Field Requirements
The selected record in the "To" field must contain a valid email address. Records without a valid email address may fail to send.
When a Contact is selected as the recipient, both Allow Email and Allow Bulk Email must be enabled on the Contact record. If either field is set to Do Not Allow, the email will not be sent, and the record will be included in the error results.
Template Compatibility
The selected email template must be compatible with the source record type.
Templates that reference unavailable fields may produce incomplete content.
Any personalization fields used in the template must exist on the selected records.
