Scholarship records in akoyaGO are used to manage foundation‑administered scholarship programs, enabling tracking of scholarship‑specific details such as eligibility requirements, conditions, and related data.

  Accessing and Entering a New Scholarship

 
The Scholarships table can be accessed from the Grants Management area of akoyaGO: 
 
To create a new Scholarship, click +New from the top navigation bar: 
 
 
On the General tab, enter as much data as possible regarding this Scholarship:
Scholarship: Required text field; enter the Scholarship Name. 

Total Amount Available: Currency field to track Total Amount Available for this Scholarship. Please note this field is a free-text field and is not impacted or set by the optional related fund's Spendable Amount. 

Scholarship Contact: A lookup field to a Contact record. List the person whom you would contact related to this Scholarship (such as a fundholder) 

Requirements: List any requirements specific to this scholarship. For example, a scholarship is awarded to High School Seniors with a GPA of 3.5 or above.  *Please note this is a free text field which allows you to easily pull "Requirements" into a view, but this field does not have any functionality related to GOapply automatching (which is instead determined by the Criteria defined below.)

Renewable: Yes or No field; will default to No

Max Renewable Years: For renewable scholarships, can track the maximum number of years for which this award can be renewed

Terms of Award: List any terms of award for this scholarship. For example, to be used toward tuition, books, or other approved educational expenses, recipients must submit official proof of a minimum GPA six months after the award.

Scholarship Note: Free text field for additional notes regarding this scholarship, such as history or restrictions. For example, established in memory of Mr. Joseph Smith, a dedicated golfer, the scholarship honors Mr. Smith's passion for the game while supporting students in pursuing their educational goals.

Scholarship Committee: Lookup field to the Committees table; allows you to link a Scholarship to the specific committee responsible for selecting award recipients. Please note this is not related to Review Groups or GOapply Reviewer functionality. 
 
GOapply Automatch Specific Fields:  Scholarships can work with GOapply auto-match. If you are using the Scholarships table but not GOapply automatch, the following fields will be non-functional.

Opt In Enabled: This field works with GOapply automatch. For a specific Scholarship to be evaluated when using the automatch option in GOapply, set this to Yes. If you are utilizing GOapply Automatch and want a specific scholarship excluded, make sure to set this to No. 

Form Definition: Populates with a JSON file when a specific GOapply form is built for this scholarship with additional questions. This happens automatically after building a Scholarship Form in the Form Editor.

GOapply Settings: Optional lookup field to the GOapply Settings record. If you have multiple GOapply sites and want this Scholarship limited to a specific site, set that here. 

Criteria Builder: Scholarship-specific criteria to be used with GOapply automatching to determine which students are eligible for a scholarship. For more information on building criteria, please see: GOapply - Scholarship Automatching.

Form Editor Tab: Allows you to build Scholarship-specific questions (to be shown in GOapply) if certain scholarships require more information. For example, scholarship-specific essay questions. 
 
For akoyaGO with accounting clients, a Scholarship can also be related to a Fund. To make a connection between a Scholarship record and a Fund, click on the dropdown arrow in the header of the Scholarship record and search for the fund that offers this Scholarship: 

  Requested Scholarships

Requested Scholarship records can be created and linked to a Request. This happens automatically with GOapply automatching.
 
Requested Scholarships track which scholarships a specific student is eligible for, has opted in or out of, or has been approved for. Because a Requested Scholarship record links a Scholarship and a Request, a Scholarship record is needed to utilize this functionality.
 
Below is an example of a Requested Scholarship. Note this is the linking record between a Scholarship and a specific Request, track information related to the specific student (such as the status reason):
 
 
From a Scholarship record, all related Requested Scholarships can be viewed from the Requested Scholarship tab:
 
 
This can be used to view past recipients and students currently eligible for Pending Requests. You can sort/filter this View as needed.
 
From a Scholarship record, all related Scholarship Payments can also be viewed. This is based on the Fund that can be set on the Scholarship record. You can sort/filter this View as needed:
