This Knowledge Article explains how data retention works in akoyaGO CRM regarding Audit Logs, including what akoyaGO retains by default, what clients control, and how audit history and audit logs are managed. It reflects current akoyaGO standards and Microsoft Dataverse behavior.

akoyaGO does not enforce a fixed retention period for CRM records (such as Constituent, Contact, Request, Gift, Fund, etc.). Records remain in the system unless a client intentionally deletes or deactivates them.  However, effective June 1, 2026, akoyaGO has standardized audit log retention at two (2) years across client environments. 

  SYSTEM AUDIT LOGS

akoyaGO now sets the Dataverse system audit log retention to two (2) years.  

  • Audit logs older than two years are automatically removed by the platform.
  • This standard balances:
    • Compliance and accountability needs
    • Dataverse storage management
    • System performance

Note: This applies to system audit logs, not the existence of CRM records themselves.  Clients should plan internal audit reviews, exports, or reconciliations accordingly if older system-level audit log data is required.  If your Foundation's retention policy conflicts with the audit log retention, please create a support case through GOsupport to have this adjusted in the environment.
