Rollup Fields

 

 

Prerequisites

 
A rollup field in Dynamics 365 is a special type of field that calculates and stores an aggregate value based on related records or a hierarchy of records. For example, rollup fields could be used to aggregate gift or request data related to a Constituent, Contact, or Donor. Rollup fields are indicated with a calculator icon on a record in akoyaGO.
 

  How do Rollup Fields Calculate?

Roll-up fields in Dynamics 365 are not updated in real time. Instead, they are recalculated based on a schedule and certain triggers:


  • By default, rollup fields are recalculated every hour by a system job. The date/time the value was last updated will be displayed under the field, as seen in the screenshot below.
  • Users can manually force a calculation for a rollup field by clicking the calculator icon

The list below is not a comprehensive list of all rollup fields akoyaGO; rather, it provides a few examples of out-of-the-box rollup fields to help illustrate how they can be used.

On a Constituent record:

  • Count of Requests  
  • Count of Awards
  • Total Awarded
  • Most Recent Grant


On a Request record:

  • Next Payment Due
  • Next Requirement Due
  • Paid
     

On a Fund record:

  • Gifts Paid/Pledged
  • Gifts Pending
     

On a Donor record:

  • Total Commitment
  • Most Recent Gift Date
  • First Gift Date
  • Count of Gifts
  • Largest Gift

On a Gift record:

  • Paid
  • Next Payment

  Resources for Creating Custom Rollup Fields

Rollup fields (aka rollup columns) are Microsoft functionality that is not specific to akoyaGO. For further information on creating custom rollup fields in Power Apps, please reference this MS Learn Article - Define rollup columns that aggregate values

Though Microsoft documentation will include helpful information on creating this type of field, the examples provided by Microsoft will not be specific to foundations and will not reference the tables/entities within akoyaGO (such as Constituents, Requests, Donors, Gifts, etc). Still, the steps provided by Microsoft will be accurate for creating your own rollup fields.
